Set up Partner Hub and start billing your first tenant

Overview

Partner Hub is where you manage customers, products, and billing in the eazyBackup client area. From here you connect Stripe, publish your catalogue, create a customer tenant, add their first Backup User, and start a subscription.

This guide takes you from a new Partner Hub through to an active or trialling subscription. Give yourself time for Stripe business and bank details first. Once charges and payouts are enabled, setting up the catalogue and tenant is usually much quicker.


Before You Begin

Have these ready before you open Partner Hub:

  • Stripe business and bank details — legal business name, tax information, and the bank account Stripe will use for payouts.

  • Pricing choices — currency, billing interval, whether each product is fixed or metered, and whether the first plan includes a trial.

  • Tenant contact and billing information — organization name, contact name and email, and a complete billing address. Country is required for Stripe Tax.

The Overview Get started checklist is complete only when Stripe charges, payouts, and submitted account details are all in place. A green Charges Enabled badge on Overview is not enough by itself.


Step 1 — Connect Stripe and confirm account status

From Overview, select Connect Stripe or open Stripe → Status.

  • Account — Connected and Ready

  • Charges — Enabled

  • Payouts — Enabled

  • Requirements — All set (0 due)

  • Verification — Clear (0 pending)

If Requirements shows items due, or Account still says setup incomplete, use Finish Stripe setup or Manage Account. Do not continue to publish until Status is Ready.


Step 2 — Configure Tax & Invoicing

Open Settings → Tax & Invoicing. This is recommended billing readiness, not a requirement for creating a subscription.

Review:

  • Stripe Tax and default tax behaviour (exclusive or inclusive)

  • Registrations for the countries where you collect tax

  • Payment terms, invoice prefix, and invoice branding (logo, memo/footer, legal name)

Save when the form is complete. You can assign a plan without finishing tax settings, but invoices will not calculate tax correctly until Stripe Tax, registrations, and the tenant billing country are in place.


Step 3 — Create and publish products and prices

Open Catalog → Products. Create one product per billable resource — for example storage priced per GiB, device count, or Microsoft 365 users. Do not combine unrelated resources on a single product.

For each product:

  1. Choose the product type (the resource the prices will meter or count).

  2. Add at least one price with currency, interval, and billing type:

    • Fixed / per-unit — a set amount per interval

    • Metered — billed from reported usage (for example GiB of storage)

  3. Set the price Active, then publish the product.

Draft or unpublished prices cannot be added to an active plan.


Step 4 — Create an active plan from published prices

Open Catalogue → Plans and create a plan from published, active prices only.

Set:

  • Interval and currency (these must match the prices you attach)

  • Trial days, if the first subscription should trial before collection

  • Included quantity on each component

  • Overage mode for metered components

Publish the plan so its status is Published (active).

An inactive or draft plan cannot be assigned to a tenant.


Step 5 — Create the customer tenant

Open Tenants and select Create New Tenant. Complete the following:

  • Organization — company name (required). Slug is optional and can be generated from the name.

  • Contact — contact name and email (required). Phone is optional.

  • Billing address — country is required (2-letter ISO code such as CA or US). Add city, province or state, and postal code before you assign a paid plan so Stripe Tax can locate the customer.

  • Portal admin — optional. If you create an admin here, Partner Hub emails a single-use invitation. Do not invite the same person again from Members.

  • Starter products — enable the products this tenant may use immediately. Unchecked products stay disabled until you change Access & Limits.

This creates the canonical customer tenant. It is not a Backup username and not a portal login by itself. Portal access comes from a member invitation.


Step 6 — Review Access & Limits before provisioning

Open the tenant, then the Access & Limits tab, before you create Backup Users or assign operational resources.

Tenant launch order is:

  1. Tenant record

  2. Entitlements (Access & Limits)

  3. Backup User

  4. Admin invitation

For each product, confirm it is Enabled and Active, then set ceilings that match the plan (Backup User, agent, job, storage, and related limits) and the permissions the tenant should have.

Set Access & Limits so limits and permissions match what you intend to sell.


Step 7 — (Optional) Create an e3 Backup User

Open the tenant Cloud Storage tab. The Tenant launch card shows whether the tenant record, entitlements, Backup User, and admin invitation are complete.

Select Create Backup User. Copy the one-time operational credential when it is shown — Partner Hub displays that password once. Store it in your password manager, not in chat or a ticket.

A Backup User is the operational identity that owns agents, jobs, vaults, and Microsoft 365 workloads. It is not a portal member.


Step 8 — Add or confirm a tenant payment method

Open the tenant Billing → Payment Methods tab. Plan assignment does not require a card on file. Automatic collection does, especially when the plan has no trial.

Subscriptions collect with charge_automatically and Stripe Tax enabled. If there is no payment method and no trial, the first invoice cannot be collected automatically.

Step 9 — Assign the plan and create the subscription

You can assign from the tenant Services tab (Assign Service) or from User Assignments.

Choose:

  1. The tenant

  2. The published plan

  3. The eazyBackup user selector (the Backup User / Backup account username that the plan meters)

e3 Object Storage plans use a customer-owned e3 storage user instead of an eazyBackup cloud backup user. The picker appears automatically for those plans.

Create the subscription. Do not treat a portal member as the eazyBackup user — that selector lists Backup Users, not Members.


Step 10 — Verify billing and invite the tenant admin

On the tenant Overview, confirm:

  • Tenant health is active

  • The plan appears under Current services as active

  • Billing shows the Stripe customer Connected, with invoices as they are issued

Subscription status should be active or trialling. Metered usage appears after collection and reporting, not immediately on assign.

Then open Members. If you already created a portal admin during tenant intake, verify that invitation or use Resend Invite — do not send a second invitation to the same person.

If no admin exists, use Invite a Member:

  • Name and email

  • Optional username

  • Role admin for the tenant administrator

The member receives a single-use, expiring link to choose their first password. That login is for the branded tenant portal, not for the backup client.

Cannot publish a product or price

Charges and payouts must be enabled. Drafts can exist earlier; publish cannot.

Plan will not publish or assign

Every component price must be published and active. Unpublished or archived prices cannot join an active plan.

No eazyBackup user in the assign picker

Create a Backup User on the tenant Cloud Storage tab first. Portal members do not appear here.

Subscription stays incomplete or past due

Confirm a payment method for automatic collection, billing address/country for tax, and that the plan has a trial if you expected no immediate charge.

Invitation failed or still pending

From Members, resend the existing invite. If email cannot be delivered, copy the single-use link when Partner Hub shows it. Do not create a duplicate admin.
